These Terms of Use (“Terms”, “EULA”) govern your use of the MyGunRoom mobile and web application and related services (“the Service”, “the App”). By creating an account or using the Service, you agree to these Terms.

1. About MyGunRoom

MyGunRoom (“we”, “us”, “our”) provides a digital service to help lawful certificate holders in the United Kingdom record firearm and shotgun certificates, inventory, transfers, and related compliance information.

By creating an account you confirm that you are at least 18 years old and that you will use the Service only for lawful purposes connected with your responsibilities as a certificate holder.

2. Your account and responsibilities

You are responsible for:

  • keeping your login details and device secure;

  • ensuring information you enter is accurate and kept up to date;

  • complying with all applicable firearms, shotgun certificate, and data protection laws;

  • not sharing your account with others.

The Service is an aid to record-keeping. It does not replace your legal obligations to hold valid certificates, notify police forces of changes, or maintain records required by law. You remain responsible for compliance with your certificate conditions.

3. Personal data we collect

Depending on how you use the Service, we may process:

  • account details (name, email address, phone number if provided);

  • certificate information (type, number, issuing force, dates, address on licence, photographs of certificates);

  • firearm and shotgun inventory (make, model, serial number, calibre/gauge, mechanism, acquisition dates, notes, photos);

  • transfer records (counterparty name, certificate number, address details, firearm details, transfer dates);

  • shoot/usage logs (dates, locations, quantities, optional photos);

  • messages you send in direct, group, club, or support chats within the Service;

  • support requests and error reports (message content, device and app details you submit);

  • technical data (device type, app version, authentication logs).

We process this data to provide the Service, maintain security, support transfers between users, and comply with legal obligations. Our lawful bases under UK GDPR include contract (providing the Service), legal obligation, and legitimate interests in operating a secure compliance platform.

4. How we protect your data

We take appropriate technical and organisational measures to protect your personal data, including:

  • encryption in transit (HTTPS/TLS) and encryption at rest for sensitive fields such as certificate numbers, licence addresses, firearm serial numbers, and chat and support message content;

  • private storage for certificate and shoot-log photographs, accessed via short-lived signed links rather than public URLs;

  • database access controls (row-level security) so users can only access their own records through the app;

  • secure authentication and monitoring of sign-in activity.

However, no method of electronic storage or transmission over the internet is completely secure. While we will do everything reasonably possible to protect your data, we cannot guarantee absolute security.

5. Support access to your account data

If you contact support, we will use your message and account identifier to respond. We do not routinely access your certificate, inventory, or other sensitive records unless you need help that requires it.

When submitting a support request in the app, you may tick “Allow support to view my account data” to let authorised staff view relevant records while resolving that specific request. Access is limited to staff with a legitimate need, is logged, and you will receive an in-app notification when support views your data under this consent. You should only grant this where necessary.

Without that consent, support can still see non-sensitive summary information (such as account status) but not your licence numbers, serials, or full inventory details.

6. Cyber security incidents

Despite our safeguards, a cyber attack or other security incident could potentially put your data at risk — for example through unauthorised access, disclosure, loss, or alteration of information we hold.

If we become aware of a personal data breach that is likely to result in a risk to your rights and freedoms, we will notify you without undue delay and, in any event, within a reasonable time period — and no later than required by applicable law (including UK GDPR). We will also notify the Information Commissioner’s Office (ICO) where we are required to do so.

Notifications will describe, so far as we are able, the nature of the incident, the categories of data affected, likely consequences, and measures we are taking or recommend you take.

7. Data sharing and transfers

We do not sell your personal data.

We use trusted infrastructure and service providers who process data on our instructions under appropriate agreements, including Supabase (hosting, database, and authentication), Cloudflare (content delivery and web hosting), Firebase (push notifications on mobile), and Resend (transactional and support email).

Payment processing is handled by:

  • Apple App Store (iOS subscriptions);

  • Google Play (Android subscriptions); or

  • Stripe (web subscriptions),

depending on how you subscribe. We do not store full payment card numbers.

When you complete a firearm transfer with another MyGunRoom user, relevant identity, certificate, address, and firearm details are shared with that user and retained in both parties’ transfer records for audit purposes. If you delete your account, some information may remain visible on the other user’s transfer history as described in the app.

8. Data retention and your rights

We retain your data while your account is active and as needed to provide the Service and meet legal obligations.

You may download a copy of your data or request account deletion through Settings in the app. Under UK GDPR you also have rights to access, rectification, erasure (subject to exceptions), restriction, portability, and to object to certain processing. Contact us at support@mygunroom.net to exercise these rights.

You may lodge a complaint with the ICO (ico.org.uk).

9. Membership tiers and subscriptions

MyGunRoom offers Free, Basic, and Premium membership tiers. Paid tiers unlock additional features as described in the app.

Prices are shown in the app and at checkout before you confirm payment. Prices may vary by country and platform and are subject to change; any price change will apply to the next billing period after notice where required by the platform or law.

9.2 Auto-renewal (iOS App Store)

If you subscribe via the Apple App Store:

  • Payment will be charged to your Apple ID account at confirmation of purchase.

  • Your subscription automatically renews unless auto-renew is turned off at least 24 hours before the end of the current period.

  • Your account will be charged for renewal within 24 hours prior to the end of the current period at the rate shown in the App Store.

  • You can manage or cancel your subscription in your device’s Settings → Apple ID → Subscriptions (or App Store account settings) after purchase.

  • Any unused portion of a free trial period, if offered, will be forfeited when you purchase a subscription.

  • No cancellation of the current subscription is allowed during the active subscription period; cancelling stops renewal for the next period.

9.3 Auto-renewal (Google Play)

If you subscribe via Google Play, billing and renewal are governed by Google Play’s terms. You can manage or cancel in Google Play → Payments & subscriptions → Subscriptions.

9.4 Web (Stripe)

If you subscribe on the web at app.mygunroom.net, payment is processed by Stripe. You can manage billing via the link in the app (Profile → Manage subscription) where available.

9.5 Restore purchases

On iOS and Android, you may use Restore purchases in the app to re-link an active store subscription to your MyGunRoom account.

9.6 Membership points and giveaways

Paid members may earn membership points used to enter prize giveaways in the app. Giveaway rules, eligibility, and prizes are shown in the app for each draw. Points and giveaways do not constitute gambling; separate promotional terms may apply to individual draws.

9.7 Refunds

Refund requests for App Store or Google Play purchases must be made through Apple or Google according to their policies. For Stripe (web) subscriptions, contact support@mygunroom.net.

10. Service availability and changes

We aim to keep the Service available but do not guarantee uninterrupted access. We may update, suspend, or discontinue features with reasonable notice where practicable.

We may update these Terms from time to time. If we make material changes, we will ask you to review and accept the updated Terms before continuing to use the Service. The “Last updated” date at the top of this page will change when we publish revisions.

11. Limitation of liability

To the fullest extent permitted by law, we are not liable for any indirect, consequential, or special loss arising from your use of the Service. Nothing in these Terms excludes or limits our liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded under English law.

Membership tiers provide different feature access and limits as described in the app. Paid tiers do not guarantee compliance outcomes, police processing times, or renewal success. Certificate reminders (including email) are assistive tools only — you remain responsible for monitoring expiry dates and submitting renewals on time.

Our total liability to you for any claim arising from the Service is limited to the amount you paid us for the Service in the twelve months before the claim (or £100 if you are on the Free tier and have not paid for membership in that period).

12. Governing law and contact

These Terms are governed by the laws of England and Wales. The courts of England and Wales have exclusive jurisdiction, without prejudice to mandatory consumer protections.
